How to Export Meeting Attendees from Outlook to a Contact List

You just wrapped up a busy quarter. Dozens of meetings, intros, and calls—all sitting in your Outlook calendar. Now you need to export meeting attendees from Outlook into a clean contact list. Maybe you’re building a follow-up list, launching a newsletter, or just trying to remember who you spoke to at that event last month.

The problem? Outlook doesn’t give you a simple “export all my meeting attendees” button. Your contacts are locked inside individual calendar events, scattered across weeks and months of meetings.

This guide walks you through every method for extracting meeting attendees from Outlook—from quick manual options to a fully automated approach that builds your contact list for you.

The Quick Method: Copy Attendees from a Single Meeting

If you only need attendees from one specific meeting, Outlook has a built-in option that works in a few clicks.

In New Outlook or Outlook on the Web:

  1. Open your Calendar and click on the meeting.
  2. Look for the Tracking pane on the right side of the meeting window.
  3. Click the three-dot menu (ellipsis) at the top of the Tracking pane.
  4. Choose from three options: Copy attendee names (just names), Copy all tracking information (names, emails, and response status), or Download as CSV.
  5. Paste into Excel, Google Sheets, or wherever you need it.

In Classic Outlook (Desktop):

  1. Open the meeting from your Calendar.
  2. Click Tracking in the ribbon under the Meeting tab.
  3. Select Copy Status to Clipboard.
  4. Open Excel or Word and press Ctrl+V to paste.

This gives you a tab-delimited list with each attendee’s name, email, whether they were required or optional, and their response status.

The catch: This only works one meeting at a time. If you need to export meeting attendees from Outlook across 50 meetings from last quarter, you’re doing this 50 times—then merging, deduplicating, and cleaning the data manually.

The Bulk Method: Export Meeting Attendees from Outlook Calendar to CSV

If you need attendees from multiple meetings, you can export your full calendar data as a CSV file.

  1. In Outlook, click File in the top-left corner.
  2. Select Open & Export, then Import/Export.
  3. Choose Export to a File, then click Next.
  4. Select Comma Separated Values and click Next.
  5. Choose your Calendar folder and click Next.
  6. Pick a save location and filename, then click Finish.

Open the CSV in Excel and you’ll see columns for Subject, Start Date, End Date, Location, Required Attendees, and Optional Attendees.

The catch: Attendees are crammed into a single cell as a semicolon-separated string. You need to split them out, remove duplicates across meetings, clean up formatting, and separate names from email addresses. For anyone who’s tried this, you know it can take an hour or more of spreadsheet wrangling to get a usable contact list.

The Power User Method: VBA Macros

Some Outlook power users turn to VBA macros to automate the extraction. You can write a script that loops through your calendar events, pulls out attendee information, and exports it to Excel.

This works, but it requires comfort with Visual Basic, and the code breaks easily when Outlook updates or when meetings have unusual formatting. It’s also a one-time snapshot—you’d need to run it again every time you want an updated list.

For most professionals, this isn’t a practical solution.

Why Manual Methods to Export Meeting Attendees from Outlook Fall Short

Every manual method shares the same fundamental limitations:

  • It’s a one-time snapshot. You export, clean, and organize—then your list is immediately out of date as new meetings happen.
  • No relationship context. A raw attendee list doesn’t tell you how many times you’ve met someone, when you first connected, or when your last meeting was. It’s just names and emails.
  • Deduplication is a nightmare. The same person shows up across dozens of meetings. You end up with a bloated spreadsheet full of repeated entries that need manual cleanup.
  • No enrichment. Email addresses from calendar invites don’t come with job titles, companies, or LinkedIn profiles. You’re left doing manual research on every contact.
  • It doesn’t scale. This process might work once. But if you want a living, up-to-date contact list from your meetings? You’d need to repeat the entire process regularly.

The Automated Method: Connect Outlook to Who I Met

What if your calendar could automatically build and maintain your contact list? That’s exactly what Who I Met does.

Who I Met connects directly to your Outlook calendar (and Google Calendar, if you use both) and automatically extracts every person from every meeting. No copy-pasting. No CSV wrangling. No macros.

Here’s how it works:

  1. Go to whoimet.com and click Get Started.
  2. Connect your Outlook calendar. Authorize Who I Met to read your calendar events. (It only accesses calendar data—never your emails or documents.)
  3. Choose your sync range. Pull in the last 30 days, 90 days, a full year, or up to 3 years of meeting history.
  4. Watch your contact list appear. Every attendee from every meeting is extracted, deduplicated, and organized automatically. You’ll see each contact’s name, email, how many times you’ve met, and your first and last meeting dates.

That’s it. What takes an hour of spreadsheet work happens in about two minutes.

What You Can Do Once Your Contacts Are Extracted

Exporting attendees is just the starting point. Once your meeting contacts are in Who I Met, you can actually do something with them.

Organize with Tags and Lists

Create custom tags like “Investor,” “Client,” “Conference Lead,” or anything that fits how you think about your network. Build targeted lists—a launch announcement list, a holiday card list, a quarterly check-in list. Select contacts, tag them, and create a list in seconds.

Enrich Contact Profiles

Calendar invites only show email addresses. Who I Met can enrich your contacts with LinkedIn profiles, current job titles, company names, and professional bios. One click turns an email address into a full professional profile.

Send Personalized Emails

Email your contacts directly from Who I Met with mail merge. Insert variables like first name, company, and title so every message feels personal. Preview each email before sending. No need for a separate email marketing tool.

When to Use Which Method

  • Use the Outlook copy-paste method if you need a quick attendee list from a single meeting for a one-off task like printing a sign-in sheet.
  • Use the CSV calendar export if you need a one-time data dump for analysis or record-keeping and you’re comfortable with Excel cleanup.
  • Use Who I Met if you want an ongoing, organized, enriched contact list that builds itself from your meetings—especially if you’re a founder, consultant, investor, or sales professional who meets with a lot of people. (Not sure if you need a personal CRM? Start here.)
